Records Coordinator ( Part time / Budapest based)

The Open Society Institute (OSI) is a private operating and grantmaking
foundation created in 1993 by investor and philanthropist George Soros.
OSI aims to shape public policy to promote democratic governance, human
rights, and economic, legal, and social reform. 

General duties: 
Provides records and information management services to OSI Budapest.
Is part of the Records Management (RM) team of Open Society Archives
(OSA) and plays an important role in fulfilling the overall mission of
the Soros Foundations Network.


Job-related duties:	
·	Responsible for records management services to Open Society
Institute Budapest including knowledge management related duties
·	Works closely with the Records Manager of OSA and OSI Budapest
staff to ensure that OSI Budapest RM Program is run on a professional
basis.
·	Continues the records retention schedule development, and
creates additional procedures to implement retention requirements
throughout OSI Budapest offices.
·	Continues overseeing tasks related to the OSI Records Center and
makes sure that it operates in the most effective way. 
·	Promotes the use of OSI Records Center database among OSI staff.

·	Develops electronic file plans for all OSI Budapest units and
controls its updating.
·	Controls records transfers to off-site storage, and monitors
records destruction
·	Controls permanent records transfers to OSA, and contributes to
archival projects relating to OSI Budapest.
·	Participates in the development of knowledge base information
systems in cooperation with other units.
·	Facilitates information retrieval by introducing new techniques
or spreading existing solutions through OSI Budapest information system
·	Develops user training programs and trains staff members
designated at OSI Budapest, to records management duties.
·	Provides records and information management services to Soros
network programs and international initiatives based in Budapest.
·	Establishes and updates disaster recovery plans and vital
records program for OSI Budapest.
·	Any other duties as may be occasionally required at OSA.


Qualifications, skills and experience:	

·	MA degree in Library, Archives or Information Sciences or
Bachelor degree, experience in related field is an advantage
·	Project management skills: the ability to plan a project and to
work with others to ensure successful completion of the project.
·	Ability to work independently, manage several tasks at once and
to act on own initiative. Ability to delegate, to explain the parameters
of a given task and to indicate the expected end product clearly to
another staff member.
·	Computer skills, including knowledge of EDMS, CMS  and
information architecture
·	People skills, the ability to interact effectively with
colleagues, clients and contacts at all levels.
·	Language skills: English is a must
·	Hungarian citizenship or valid settlement and work permit in
Hungary
